Switching from Zoom to Holder

Your Zoom links themselves aren't something to export — paste them onto sessions in Holder, or switch to Holder's own video rooms — but your registration lists are worth pulling out, because they hold people who signed up for a session and never became a client anywhere else.

What comes with you

• People: partly, from registration reports on meetings that required registration.
• Consent: no. Registering for a Zoom meeting isn't marketing consent. Everyone arrives with none recorded.
• History: registration data only, and only for 30 days after a meeting ID was last used.

Export from Zoom

1. In the Zoom web portal, go to Account Management > Reports > Usage Reports
2. Open Meeting and webinar history, set the dates, and click Search
3. Click Generate detailed report for each registered meeting, and choose the registration report (all registrants)
4. Download the CSV from the Report Queue tab

Watch for: you need a paid plan (Pro or above) and reporting permission. Zoom deletes registration data 30 days after a meeting ID was last used, so export soon rather than leaving it. Registering for a meeting isn't marketing consent.

Import to Holder

• Upload the registration CSV as it downloaded. Date and phone formats are normalised on import
• Read the column mapping check before anything is written
• Treat everyone in this file as having no consent recorded — decide who you actually have permission to email before you send anything, the same as any other list with no consent data
• Duplicates are flagged side by side

What Holder rebuilds rather than imports

• Booking pages, session types, availability, packs
• Video sessions: paste your existing Zoom link onto a Holder session, or switch to Holder's own rooms
• Under an hour, by hand

What doesn't come with you

• Marketing consent. Decide who you have permission to email and set it deliberately
• Meeting recordings. These stay in your Zoom account, or wherever you've stored them. Download anything you want to keep
• Zoom's own scheduling and reminders. Holder's booking and reminder emails replace these

The last step

• Decide whether you're pasting Zoom links into Holder sessions or moving to Holder's own rooms, and do it deliberately rather than leaving old links live
• Take a test booking as a client and check the confirmation and video link both arrive
• Keep your Zoom account only as long as you still need the links or recordings on it
