Switching from Jane to Holder

Jane exports properly, which makes this one of the more straightforward practice moves. Two reports you can run yourself, and one export you have to ask Jane for. Start the third one early, because it is the one with a queue in front of it.

What comes with you

• Clients: yes. Every field on the patient profile, plus first and last visit dates.
• Consent status: partly. Jane records whether a client is on your email marketing list, and that flag sits in the patient profile, so it comes across. Anyone without it arrives with no consent recorded.
• History: partly. Appointments and charts export separately. Neither goes through the standard import — turning them into records inside Holder is a one-off we do for you.

Export from Jane

The client list:

• Reports > List
• Check the filters. Narrow to a single practitioner only if you actually want that, and make sure inactive clients are included
• Click the three dots at the right of the filter bar, then Export to Excel
• Only the Account Owner or a staff member with Full Access can run this
• The file contains more fields than the on-screen preview shows, including first and last visit dates. Don't judge it by the preview

The appointments:

• Reports > Appointments
• Open the date range filter and use the left arrow to walk back to your first ever booked day, then the right arrow out to your last
• Export to Excel

The charts:

• This is a Batch Chart Export, and it has to be requested from Jane rather than run from a menu
• The request has to come from the Account Owner or the practitioner who authored the charts, and the download link goes to the Account Owner
• You get clearly labelled PDFs plus a CSV matching every chart entry to the right patient profile
• Ask for it at the start of the move, not the end

Import to Holder

• Upload the client list as it downloaded. Date and phone formats are normalised on import
• Read the column mapping check, and map the marketing list column deliberately — that's the one carrying consent
• Duplicates are flagged side by side with a merge view. Where two records disagree about opting out, the more restrictive one wins
• The chart export isn't a CSV and doesn't go through this route. Send it to us instead

What Holder rebuilds rather than imports

• Booking pages, session types, availability, packs
• Intake forms, rebuilt as versioned intake, so from the switch onward you can see which version a client signed
• Notes written in Holder are locked once signed
• Under an hour for the scheduling side, longer if your intake forms are long

What doesn't come with you

• Billing data. Invoices and payments don't move between systems in any usable form. Export your billing reports for your own records and keep them; your accountant will want them regardless
• Insurance policies and claims. Holder doesn't do insurance billing. If insurance work is a real part of your practice, that is the honest reason not to move
• Inventory and products. If you sell physical products through Jane, export the inventory report and rebuild it deliberately
• Online appointments video. Jane's built-in video doesn't transfer. In Holder you paste your own link on a session, one session at a time

The last step

• Repoint the booking link everywhere it appears
• Take a test booking as a client and check the confirmation and intake form both arrive
• Keep the Jane export archived somewhere secure and encrypted. Your clinical retention obligations outlive your subscription
