Switching from Calendly to Holder

Calendly has no reliable way to export your contacts, so your client list comes out of your past meetings instead. It works, but it arrives one row per booking rather than one row per person, which shapes the whole move.

What comes with you

  • Clients: yes, reconstructed. Names and email addresses, pulled out of your meeting history rather than a contact list.
  • Consent status: no. Calendly holds no marketing consent field. Everyone arrives with none recorded.
  • History: partly. The meetings export is your history, and the people come across from it. Turning the bookings themselves into a record in Holder is a one-off we do for you.

Export from Calendly

  • Go to Meetings, then the Past tab
  • Set the date range back to your first ever booking. The default window is short, and this is the step people miss
  • If you have team members, filter by each in turn or export the lot together
  • Click Export, top right. The CSV downloads, or arrives by email for larger accounts
  • You get: invitee name, email, the event details, and the answers to your invitee questions

There is an export button on the Contacts page for some accounts — it has been in limited release for a while and isn't on every plan. Look once. If it isn't there, use the meetings export and don't spend an evening hunting for it.

Import to Holder

  • Upload the CSV as it downloaded. Date and phone formats are normalised on import
  • Expect regulars to appear many times over. Don't deduplicate by hand first — Holder flags duplicates side by side and merges them properly
  • Read the column mapping check. Calendly's meeting exports carry a lot of columns you don't need, and it's easier to leave them unmapped than to delete them in a spreadsheet
  • Where two records disagree about opting out, the more restrictive one wins

What Holder rebuilds rather than imports

  • Booking pages, session types, availability, packs
  • Under an hour, by hand. Your Calendly event types become session types; your availability schedules become availability

What doesn't come with you

  • Marketing consent. A list of people who booked a call is not a mailing list. Decide who you actually have permission to email
  • Event types, availability rules and workflows. No export exists. Screenshot your workflows before you close the account if you want to rebuild the reminder timings exactly
  • Calendar connections. You reconnect your calendar in Holder directly
  • Payments. If you took payment through Calendly's Stripe connection, the charge history stays with Stripe. It is still in your Stripe dashboard, which is where your accountant will look anyway
  • Zoom. No integration transfers. In Holder you paste your own link on a session, one session at a time

The last step

  • Repoint the booking link: website, bio, email signature, anywhere it appears
  • Take a test booking as a client and check the confirmation lands
  • Switch off your Calendly event types rather than deleting the account, and keep it until the last booking made in it has happened
