Cal.com doesn't keep a client list. It keeps bookings, and your list has to be assembled from them through the Insights page. If you self-host, check your version before you start, because the export changed.
What comes with you
- Clients: yes, reconstructed. Names and email addresses, pulled out of your booking data rather than a contact list.
- Consent status: no. Cal.com holds no marketing consent field. Everyone arrives with none recorded.
- History: partly. The bookings export is your history, and the people come across from it. Turning the bookings into a record in Holder is a one-off we do for you.
Export from Cal.com
- Go to Insights
- Set the date range back to your first ever booking. The default is a short recent window
- Download the CSV
- You get booking data with the booker's name and email included
The version note matters. Booker name and email were added to the Insights CSV in v4.7. If you are on Cal.com's hosted service you are well past that. If you self-host and haven't updated in a while, check: an older build gives you booking counts without the people in them, which is useless for this. Update first, or pull the list from your own database.
If you self-host and would rather query the database directly, that's fine — send us whatever shape it comes out in.
Import to Holder
- Upload the CSV as it downloaded. Date and phone formats are normalised on import
- Expect regulars to appear once per booking. Leave that alone. Holder flags duplicates side by side and merges them properly, which is more reliable than deduplicating in a spreadsheet
- Read the column mapping check. Insights exports carry columns you won't need; leave them unmapped rather than deleting them
- Where two records disagree about opting out, the more restrictive one wins
What Holder rebuilds rather than imports
- Booking pages, session types, availability, packs
- Under an hour, by hand. Your event types become session types and your schedules become availability
What doesn't come with you
- Marketing consent. A booking list is not a mailing list. Decide who you have permission to email and set it deliberately
- Event types, availability and routing forms. No export exists in a form anything else can read
- App connections. Calendar, payment and conferencing apps are reconnected in Holder directly
- Routing form responses. If you use routing forms to qualify bookings, download those reports separately before you close the account
- Zoom. No integration transfers. In Holder you paste your own link on a session, one session at a time
The last step
- Repoint the booking link: website, bio, email signature, anywhere it appears
- Take a test booking as a client and check the confirmation lands
- Keep Cal.com running until the last booking made in it has happened. If you self-host, keep the instance up a little longer than that — it costs you nothing and it's the only copy
