Switching from Bookwhen to Holder

Bookwhen exports a proper client list in one go, and if you built your own marketing question into the booking form, consent comes across with it — Bookwhen has no consent field of its own, so that question is the only way it exists.

What comes with you

• Clients: yes. Email, name, first and latest booking dates, passes, and the answers to your booking-form questions.
• Consent status: only if you built it yourself. Bookwhen has no built-in marketing-consent field. If you added your own Yes/No marketing question to the booking form, that answer comes across as a normal column.
• History: yes, from a separate bookings export.

Export from Bookwhen

Your client list:

1. Go to Customers and leave the filters blank.
2. Click Options > Export customers, or choose to have it emailed.

Your booking history:

1. Go to Bookings, and set a wide date range.
2. Click Search > Options > Export bookings (CSV).

Import to Holder

• Upload the customer CSV as it downloaded. Date and phone formats are normalised on import
• Read the column mapping check before anything is written
• For consent: if you added your own marketing question, filter the export down to the people who answered yes, upload that as its own file, and tick the box confirming they agreed to marketing when you import it. Holder doesn't read consent out of a column automatically — this is what makes it count
• Duplicates are flagged side by side

What Holder rebuilds rather than imports

• Booking pages, session types, availability, packs
• Under an hour, by hand. Your passes become packs

What doesn't come with you

• Marketing consent, unless you built your own opt-in question (see above)
• Booking form design and event pages. No export exists. Rebuild deliberately
• Payments. These stay with your payment processor
• Zoom. No integration transfers. In Holder you paste your own link on a session, one session at a time

The last step

• Repoint the booking link: website, bio, email signature, anywhere it appears
• Take a test booking as a client and check the confirmation lands
• Keep Bookwhen live until the last booking made in it has happened

Deep history imports are a paid one-off service, not part of a trial or a plan. If you want one, send us your export before you start a trial: we'll quote you for it, and tell you honestly what will and won't come with you either way.
